The PeopleSoft Upgrade for Finance project team continues to make improvements while upgrading the PeopleSoft Finance system from version 9.0 to version 9.2.
“The primary goal is to reduce the need for system customizations and deliver greater capability and use for PeopleSoft tools,” said Kem Marcum, ERP application development director in Information Technology Shared Services
During the project, the team partnered with Ciber Inc. for help with project management, functional and technical consulting resources.
The PeopleSoft Finance Modules include the General Ledger, Commitment Control (budget checking), Payables, Purchasing, eProcurement, Grants, Projects, Billing, Accounts Receivable, Contracts and Asset Management modules. Functionality in each module will be reviewed for improvements such as use of electronic workflow, work centers and dashboards. For example, there will be enhancements to the account reconciliation process and updates to the workflow capabilities in General Ledger, eProcurement and Payables.
In addition, a new Expenses and Travel Management module will be implemented that will be used be used throughout the travel process, from authorization to employee reimbursement. This new module will be rolled out for some departments to pilot when the new 9.2 PeopleSoft system goes live in September 2015.
The team is conducting preliminary testing of the overall Finance system. Future testing efforts will focus on making sure that interfaces to external systems and to other PeopleSoft modules such as Payroll and Student Finance are working properly.
In a related project, Huron Consulting Group is leading an effort to redesign the UNT System’s Chart of Accounts. The redesign includes creating new department IDs’ and account values and additional fields to facilitate better reporting. The new Chart of Accounts values will be used for fiscal year 2016 to create better consistency and improve reporting capabilities.
The new 9.2 system will go live in two phases.
• Phase One, which includes Purchasing and eProcurement functions, is scheduled to go live in Summer 2015 to facilitate entry of Purchase Orders for Fiscal Year 2016.
• Phase Two will include all Finance modules other than Purchasing and eProcurement. It is scheduled to roll out September 2015 to coincide with the start of fiscal year 2016.
Training on the PeopleSoft Finance modules will be offered prior to the rollout of version 9.2. Purchasing and eProcurement training will be offered prior to the Phase One go-live, and training for all other modules will be provided prior to the Phase Two go-live in September.
Training and communication teams are being formed, and additional information about training will be communicated as the dates approach.
